HOA Management Software for ARC Request Handling

The client is a US-based HOA management company overseeing architectural review activities across several residential communities. Its teams work with homeowners, community managers, board members, and external experts to review construction and renovation requests and move them through the required approval stages. The growing volume of requests made it harder to maintain visibility and coordinate everyone involved.

Client Overview

The client manages a portfolio of residential communities in the US, supporting the day-to-day administration of their operations, including HOA architectural review activities. The goal was to use HOA management software to bring ARC requests, reviews, approvals, and supporting information into one system, while allowing each community to follow its own rules and processes.

The Challenge

    • Requests came through emails and paper forms, with supporting documents stored across different locations.
  • Homeowners, HOA managers, board members, and third-party reviewers had limited visibility into request progress.
  • Repeated back-and-forth between stakeholders made the review and approval process time-consuming.

HOA ARC Software User Roles

The Solution

We built custom HOA management software that brought the client’s ARC request HOA process into one digital workflow, while giving individual communities the flexibility to follow their own requirements.

One Connected Review Workflow
  • Digital submission of architectural requests and supporting documents.
  • Reviews, additional information requests, board escalations, and approvals managed within the same workflow.
Built for Multiple Communities
  • Common settings for forms, fees, voting thresholds, and review rules could be configured centrally.
  • Individual communities could adapt these settings to their own bylaws and architectural requirements.
Centralized Operational Visibility
  • Management teams could track pending, approved, rejected, and conditional requests in one place.
  • Reports brought together application fees, outstanding balances, and community payouts.

Business Outcome

The new community association management software took much of the manual coordination out of architectural reviews. Teams could see what was pending and where requests stood, while homeowners had better visibility into their submissions. Across communities, the process became more consistent, easier to track, and simpler to manage.

Annual Operational Impact:

  • 85% Faster ARC Request Processing with Digital Approvals
  • 90% Quicker Document Retrieval from Centralized Records
  • 75% Less Manual Data Entry through Digital Submissions & Workflow Automation

For this insurance company, customer support meant more than handling a high number of customer calls. A team of 500+ agents handled 8,000+ interactions every day, with call documentation and policy updates following those conversations. That created a steady stream of repetitive work for the team. The client wanted to simplify this workflow and take some of that work out of the agents’ hands.

Our client is a US-based auto insurance provider managing a high volume of accident-related claims every day. Fraud screening was largely a manual process for them. Their team was spending considerable time manually reviewing claims and the information surrounding them. This made it harder to keep up with the workload.
